This page explains how the BIM Excellence Initiative (BIMei) uses any personal information and other data it collects from you when you use this website (https://BIMexcellence.org/ or Site), when you register to attend an event publicised on the Site, when you subscribe to the BIMe Initiative's Newsletter, when you sign the Excellence Manifesto, when you sign up to receive updates from any of the affiliated blogs and sites — including https://BIMdictionary.com, https://BIMthinkSpace.com, https://www.BIMframework.info and https://macroadoption.com — or when you create a BIMei account and use the BIMei applications (all referred to collectively here as the Sites and Applications).
The Sites and Applications are owned, operated, and maintained by ChangeAgents AEC (sometimes referred to as "we" or "our" in this policy) as part of its knowledge-sharing mandate. Please read and make sure you are happy with the below before you continue.

What data do we collect?
ChangeAgents AEC collects the following data:
- Personal Information (name and email address). If you are a signed-up user of the Sites (typically reserved for site admins and active volunteers), we also collect your affiliation and location information.
- If you hold a BIMei account: your email address and name; your organisation memberships and roles; which BIMei applications you may use; authentication data (your password in protected form, and any multi-factor device you enrol); session and sign-in records including IP address; your acceptance of these policies; and a record of administrative actions on your account and organisations.
- If you use one of the Social Media Widgets to sign up or log in, we may collect or may access the information that you've allowed that Social Media Widget to show us.
- Site usage data including the pages you visited, the files you downloaded, the events you registered for, the newsletters you signed up for, the links you pressed, the languages you use, your site preferences, and any notes or comments you've added into the system.
How do we collect your data?
You provide most of the data we collect directly when you: register for an event or an account; subscribe to a newsletter or sign the Excellence Manifesto; create or use a BIMei account; accept an organisation's invitation to join it (in which case the organisation provides us your email address so we can send the invitation — we tell you this in the invitation email); contribute comments, content, or feedback; or contact us. We also collect some data automatically as you use the Sites and Applications: the usage data described above, and the session and sign-in records (including IP address) that are required to keep an account secure.
How will we use your data?
We use your data to: provide the Sites, your account, and your access to the BIMei applications (performance of our terms with you); keep accounts and organisations secure, maintain audit records, and prevent fraud and abuse (our legitimate interests); send the newsletters and updates you've asked for; and improve the Sites and Applications. We do not sell your data, and we do not use it for third-party advertising.
Your BIMei account (Central ID)
One BIMei account signs you in to all BIMei applications. We process your account data to provide your account and your access to the applications, and for security, audit, and fraud prevention. When an organisation invites you to join it, we process the email address it provides until you accept the invitation or it is withdrawn.
The BIMei applications
Each BIMei application (for example, Roles Profiles Flows, the Macro Adoption Dashboard, the BIM Dictionary, the BIMei Ontology) processes the content you create or your organisation provides. Signing in passes only your identity and your organisation context from your BIMei account to the application — applications never receive your password or authentication data.
How do we store your data?
ChangeAgents securely stores your data with established cloud service providers; a current list of the providers we use and where they host your data is available on request from the contact below. Account data for the BIMei applications is hosted in the European Union. So long as the Sites and Applications are operational, we will retain the data collected from you. If you have an account and decide to delete it, all your Personal Information will be deleted, and the deletion is propagated to the BIMei applications; records of administrative actions may be retained in de-identified form (identifier only) where needed for security. We may not be able to immediately remove Personal Information from our regular backup copies, as they may be encrypted. These backups are overwritten every 30 days, and thus all deleted information will be purged.
Marketing
Unless you have subscribed to our newsletter(s) or notifications, we will not send you unsolicited marketing materials from third parties. We may, however, occasionally include information about our sponsors in our communications with you. You are able to unsubscribe from our newsletter(s) at any time, as each will have an "unsubscribe" link or button.
Our newsletter and email updates
When you subscribe to a BIMei newsletter or email updates, we ask only for your name and email address. We use double opt-in: after you sign up, we email you to confirm it really is you, and we only add you to the list once you confirm. We keep a record of that confirmation as evidence of your consent. We use a dedicated email delivery service to manage subscriptions and send these messages; your name and email are stored only for this purpose and only for as long as you remain subscribed.
We do not use this list for anything other than the newsletters and updates you asked for, and we never sell it. Every message includes an unsubscribe link, and you can opt out at any time. When you unsubscribe — or ask us to delete your details — we remove you from the active mailing list straight away, and your details are cleared from our backups within our normal backup-rotation period (see "How do we store your data?").
We keep only the minimum necessary (your email address, on a suppression list) so we can be sure not to contact you again after you've opted out; you can ask us to remove even that.
What are your data protection rights?
ChangeAgents would like to ensure that you are fully aware of your data protection rights. Every user is entitled to the following:
- The right to access — You have the right to request copies of your Personal Information from ChangeAgents. The first copy is provided free of charge.
- The right to rectification — You have the right to request that ChangeAgents correct any of your Personal Information you believe is inaccurate. You also have the right to request that we complete information you believe is incomplete. BIMei account holders can edit their name directly from their account page.
- The right to erasure — You have the right to request that ChangeAgents erase your Personal Information and any identifiable data, under certain conditions. For BIMei accounts, erasure is propagated to the applications as described above.
- The right to restrict processing — You have the right to request that ChangeAgents restrict the processing of your Personal Information, under certain conditions.
- The right to object to processing — You have the right to object to ChangeAgents' processing of your Personal Information, under certain conditions.
- The right to data portability — You have the right to request that ChangeAgents transfer the data that we have collected to another organisation, or directly to you, under certain conditions. For BIMei accounts, we provide a machine-readable export.
If you make a request, we have one month to respond to you. To exercise any of these rights, contact us at info@changeagents.com.au. You may also complain to a supervisory authority — in Australia, the Office of the Australian Information Commissioner; in the EU/EEA, your local data-protection authority.
